Assigning Policies to Users

This article provides guidance for the individual and bulk assignment of policies (to users) within the Phone System PowerApp.

Individual Assignment of Policies to Users

This first section will cover the simplest way to assign policies to an individual user:

1. Once logged into the Phone System PowerApp, navigate to ‘View Users’ directly from the homepage.



2. This page will display all licensed users within your organisation. To view or edit policies for a single user, locate the user via the search or scroll functionality and select corresponding ‘view/edit policies’ under the Policies Assigned column.


3. On this page, you can select the policies to be applied (i.e., Calling Policy, Caller ID policy, Dial Plan (Direct Routing only), Voice Routing Policy (Direct Routing only)).







4. After confirming your policy selections click ‘Submit’.




5. After submitting, you will be directed to a success screen informing you that your assignment was successful, with the option to return to view all the users.

Bulk Assignment of Policies to Users


Phone System administrators can also assign policies to their users in bulk. The following steps outline how to do this.

1. On the homepage, select the ‘Bulk Assign Policies’ Alternatively, navigate to ‘View Users’ and then select ‘Bulk Upload – Policy Assignment’ (homepage > view users).







2. Select from the drop downs to determine the policy combination required for the bulk assignment.



Important Note:

You do not need to make a selection for every single policy category

3. To determine the users for the bulk assignment, you will need to download the template, completing the necessary fields and then upload via the attachment box provided.



Important Note:

Ensure you populate the compulsory fields in the template before attaching and uploading the file. You will not be able to submit without the attachment.

4. After uploading the file, click ‘Submit’ to be directed to a success screen.

5. On the success screen page, you will be provided with the option to the return to the users page to view all licensed users in your organisation.

6. To view the progress of your bulk assignment request please view the ‘Pending Actions’ page. Here you can view and address any unsuccessful processes.

Important Note:

Bulk assignment of policies can be processed in batches of 500 at a time. Should you try and process more than this, you may run into issues.
