Frequently Asked Questions (FAQ) – Email Migration

This FAQ page contains the answers to the most commonly asked questions about email migration and will continue to be updated as required.

Overview

What is email migration and why is it needed?

Email migration is the process where your @hee.nhs.uk mailbox content (Outlook) will be copied to your T1510 @nhs.net account, making your T1510@nhs.net email address your main account for email.
For HEE, this is the first step in the journey to enable better collaboration across the new organisation as part of the @One project (you need to sign in with your new NHS England T1510 @nhs.net account to access this site. Trust nhs.net accounts cannot access this page).

Please note, in the short-term, you will continue to use your @hee.nhs.uk account to access other apps and services, such as collaboration tools (i.e., Teams, SharePoint, OneDrive and all the other Office 365 apps). Migration of these apps to the nhs.net environment will happen in sequence. We will communicate timelines with you nearer the time.

How will the email migration work?

The email migration process involves two stages, copy commence and email switchover. Contents of your @hee.nhs.uk email account will be copied to your T1510 @nhs.net account and an auto-forward will be applied to ensure that no new emails and meeting invitations are missed.

What are the current timelines for email migration?

The email migration is in progress for former Health Education England (HEE) colleagues and we are currently in the Copy Commence stage. The Email Switchover stage will commence on Friday 1 September 2023. Please continue to look out for email communications from the atone.migrationsupport@hee.nhs.uk team (before the switchover) and england.migrationsupport@nhs.net (after the switchover).

What types of account are moving to the nhs.net environment?

The migration activities will focus on the following types of account:

  • User accounts – individual mailbox used by a single user.
  • Shared mailbox accounts – a mailbox shared by multiple team members.
  • Distribution lists – a list used to communicate in mass with colleagues.

What isn't being migrated?

The table below shows further information on what is being migrated and key considerations.

Emails and Folder Structure ü All emails in your mailbox folders and sub-folders will be migrated to your T1510 nhs.net account.
Shared Mailboxes ü Shared mailboxes will be migrated to the nhs.net environment. Each migrated shared mailbox will be provided a new T1510 @nhs.net email address and will retain its current owners and members.

If you need to change the name of your shared mailbox after the switchover, please contact your regional IT Support Team.

Distribution Lists ü Distribution lists will be migrated to the nhs.net environment. Each migrated distribution list will be provided a new T1510 @nhs.net address and will retain its current owners and members.

Please note, distribution lists in nhs.net will not contain external domain email addresses

Calendar Invites, Meeting, and Appointments ü Calendar invites sent to your @hee.nhs.uk email account will be copied to your T1510 @nhs.net as part of the migration process. All meetings and appointments will appear in your T1510 @nhs.net calendar and you will be able to click and join meetings previously arranged in your @hee.nhs.uk email.

Please note, after the switchover you will not be able to modify meetings previously scheduled with your @hee.nhs.uk account. If you need to make changes to these meetings that have been migrated, please schedule a new occurrence/recurrence using your T1510 @nhs.net account.

Journals ü Journals will be migrated to your T1510 nhs.net account.
Notes ü Notes will be migrated to your T1510 nhs.net account.
Tasks ü Tasks will be migrated to your T1510 nhs.net account.
Calendar Permissions Calendar permissions which you had access before the switchover have not been copied to your T1510 @nhs.net Outlook calendar. To restore calendar permissions, please visit the guidance What do I need to do to restore calendar permissions?
Calendar Customisations Your previous custom calendar settings such as making your own updates to Free/Busy statuses, calendar colours, calendar tags, and more will not be migrated to your T1510 @nhs.net account.

Please consult the user guide on Microsoft Outlook calendar to reapply previous customisations.

Outlook Categories Outlook categories will not be migrated to your T1510 @nhs.net account.

Please follow the steps to save your Outlook categories before the switchover. After the switchover has been completed, please follow the steps to restore your Outlook categories.

Email Signatures Please update your email signature to ensure it contains information about your T1510 @nhs.net account.
Mailbox Delegation Mailbox delegation – where one user provides another user access to their mailbox/folder – will not be auto-migrated.

Please contact your regional IT Support Team to request the setup of mailbox delegates.

Outlook Customisations Your Outlook customisations – such as your reading pane, view settings, and more – will not be auto-migrated to your T1510 @nhs.net account.

Please consult the user guide on how to create, change, or customize a view in Outlook.

Contact Groups (Personal Distribution Lists) Contact groups will not be migrated to your T1510 @nhs.net account.

You will need to take note of the existing contact groups in your current HEE email account and recreate them in your T1510 @nhs.net account after the switchover

Please follow the steps to save your Contact Groups before the switchover. After the switchover has been completed, please follow the steps to restore your Contact Groups.

Important note: Non-personal Distribution Lists (i.e. those created by your regional IT team) will be made available in the NHSmail as part of the migration. Communications have been issued to all distribution list owners.

How do I know if the switchover has been completed?

A series of communications will be issued on each stage of the migration activities. Once the switchover stage has commenced, you will receive email on your @hee.nhs.uk account. Once the switchover is complete, a confirmation email with the next steps will be sent to your T1510 @nhs.net account.

What will happen to my hee.nhs.uk account?

At this stage, we are only migrating email. You will continue to use your @hee.nhs.uk account in the short term to access other apps and services, such as collaborations tools (i.e., Teams, SharePoint, OneDrive, and all the other Office 365 apps). Migration of these apps to the nhs.net environment will happen in sequence. We will communicate timelines with you nearer the time.

Will my user/shared mailbox email address and password change because of the migration?

There will be no changes to the login details of your @hee.nhs.uk account. For @nhs.net accounts, you will receive further communications with more information in due time, but some changes are expected depending on the type of account you use:

Shared mailbox account No change in detail When the shared mailbox is recreated on the nhs.net environment, it will need to follow a pre-determined naming convention. The new name of the shared mailbox address will be communicated, and memberships will be replicated accordingly.
Distribution list No change in detail When the distribution list is recreated on the nhs.net environment, it will need to follow a pre-determined naming convention. The new name of the distribution list address will be communicated, and memberships will be replicated accordingly.

How much storage will I get on my nhs.net email account? Is it only 4GB?

All mailboxes will be uplifted to 50GB of storage by default. Those mailboxes currently exceeding 50GB of storage on their @hee.nhs.uk email account will be reviewed individually and uplifted as necessary.

What will happen to my calendar? How can I attend Teams meetings?

Calendar invites sent to your @hee.nhs.uk email account will be copied to your T1510 @nhs.net as part of the migration process. All meetings and appointments will appear in your T1510 @nhs.net calendar and you will be able to click and join meetings previously arranged in your @hee.nhs.uk email.

How will I be able to create new Teams meetings after the switchover?

You will continue to be able to create new Teams meetings using your T1510 @nhs.net account on the Microsoft Outlook Application or Outlook Web App (OWA). These meetings will be scheduled and hosted on NHSmail tenant with full audio conferences and dial-in number.

Please note:

  • After the switchover you will not be able to modify meetings previously scheduled with your @hee.nhs.uk account. To make changes to these meetings, please schedule a new occurrence/recurrence using your T1510 @nhs.net account.
  • You will be required to set up Teams meetings with your individual user account on behalf of Shared Mailboxes
  • You will be required to use the Outlook Web App (OWA) calendar to schedule new Teams meetings user mailboxes that have delegation. Please visit How can I view other mailboxes in OWA? for more information

What happens before the switchover?

What do I need to do before the switchover?

Please consult the article Actions required before the email migration to nhs.net for a list of actions you need to complete before the switchover to ensure a smooth transition from using your @hee.nhs.uk email to using your T1510 @nhs.net email.

What are my nhs.net account details?

Your T1510 @nhs.net user account details have been previously communicated to you by HEE IT, and most recently by the atone.migrationsupport@hee.nhs.uk team. Please search your @hee.nhs.uk mailbox for this information.

If you do not have a T1510 @nhs.net account yet, one will be created for you even if you already have a @nhs.net account on another ODS.

If you do not know the password of your T1510 @nhs.net account, please contact your regional IT Support Team.

If you have already accepted Acceptable Use Policy (AUP) and enrolled in MFA, you can use the password reset function. If your T1510 @nhs.net account is linked to your mobile phone, you will need to verify the change on your device when prompted.

What if I have more than one nhs.net account?

As part of this migration, your @hee.nhs.uk email will be migrated to your @nhs.net account in the T1510 ODS container. This is due to governance requirements in which educational work must be contained within the T1510 ODS. If you have other @nhs.net accounts hosted on different ODS codes (i.e.: NHS England or Trust), please note at this stage we are not able to merge the accounts.

What do I need to do now?

Please review and complete the list of Actions required before the email migration to nhs.net to ensure a smooth transition from your @hee.nhs.uk to your @nhs.net account. In the meantime, you may continue to use your @hee.nhs.uk mailbox as you do today until the switchover is complete.

What happens on and after the switchover?

When should I stop using my hee.nhs.uk account for email?

You may continue using your @hee.nhs.uk email account during the email migration activities. However, please note, once the switchover has been applied, your T1510 @nhs.net email account will become your main email account and you will no longer be able to use your @hee.nhs.uk account for emails. Therefore, you will only be able to use your @hee.nhs.uk account for email until the switchover is complete.

Please note, in the short-term, you will continue to use your @hee.nhs.uk account to access other apps and services, such as collaborations tools (i.e.: Teams, SharePoint, OneDrive and all the other Office 365 apps). Migration of these apps will happen in sequence, and we will communicate with you nearer the time.

What is auto-forwarding?

Automatic email forwarding (auto-forwarding) is a feature that automatically forwards all emails received in one inbox to another. After the switchover has been applied, an auto-forwarding rule will be enforced so that any emails sent your @hee.nhs.uk account is automatically forwarded to your T1510 @nhs.net email account.

Do I need to do anything to restore calendar permissions?

Calendar permissions which you had access before the switchover have not been copied to your T1510 @nhs.net Outlook calendar. To restore calendar permissions, please follow the below steps:

1. Contact your colleagues and ask them to share their T1510 @nhs.net calendar with you by following the user guide Share your calendar. Please note, you can also follow this user guide to update how colleagues view your own calendar.

2. Once the calendar has been shared, follow the steps to Open another person’s calendar.
