Information – Teams and Exchange Online Data Loss Prevention (DLP) Policy Coming 31 March 2026

Description: Data Loss Prevention (DLP) operates across Microsoft 365 applications and is already in place for OneDrive and SharePoint. There are no changes being introduced to these services, but we are enhancing the Service to include Exchange Online and Microsoft Teams with new DLP warning notifications coming into effect from 31 March 2026 .

The new DLP Policy for Exchange Online (Outlook) and Microsoft Teams aims to reduce unintended sharing of sensitive data. It uses detection tools to automatically identify specific types of sensitive information during email composition in Exchange Online (Outlook) or when sending messages in Microsoft Teams. Examples of this data include passport numbers, credit and debit card details, NHS numbers, National Insurance (NI) numbers and SWIFT codes.

How does this affect me?

The DLP Policy will notify you if sensitive information is detected within an email or Microsoft Teams message.

Please note, application accounts are not affected by this update.

What action do I need to take?

No action is required ahead of this change.
