Portal – Jaguar Release

The Jaguar Portal release was implemented as planned on the evening of the 05/08/2019 with new features for core NHSmail Portal functionality, O365 functions and bug fixes.

Some users may need to refresh their browser cache (press Ctrl+F5) whilst viewing a Portal administration function or alternatively clear browser cache and cookies for search functionality to operate.

The below is a high level summary of the new functionality.

New Core Functionality

  • View Audit Record Simplify/Export – As part of this PBI, Export functionality has been added for the audit record. Audit record details can be exported in a file in JSON format.
  • Shared Mailbox Name Maintains Case – As part of this PBI, the Display name will appear in upper case irrespective of the case entered for first/last name while comparison of names remains case insensitive.
  • Ability to easily capture new user details in ready to export format – As part of this PBI, admins can now export details of users more conveniently in an excel format. Which can be easily consumed by any downstream systems or analysed more closely.
  • Add parent organisation to user lists and user details page – As part of this PBI, the Parent Organization filter is added to the column picker in user list page so that this information can be made available in the user list search page itself.
  • Update Hide Mobile Number Functionality – As part of this PBI, the hide mobile number functionality is updated to hide the mobile number from user edit page and mailbox report when the Hide Mobile Number check box is checked on User Profile page.
  • Advanced search in the people finder isn’t persistent enough, post search the advanced search criteria clears out on UI – As part of this PBI, advance search criteria/filters will persist post search.
  • Additional Graphs – As part of this PBI, additional graphs have been implemented in Statistics for Mover/Leaver, Top 10 Organizations with most DLs and Top 10 Organizations with most SMBs.
  • Add calendar settings to Organisation Export – As part of this PBI, new Columns have been added to the existing Organization Export Report – Default Calendar Setting and Organisation Calendar Setting.
  • Remove users with Active (Leaver) state from DDL distribution list – As part of this PBI, leavers in an organisation will no longer be targeted by DDL. Leavers will now have a constant Exchange Custom Attribute 2 value which will be excluded by default from any DDL rule set.
  • Additional Statistics Graphs for all orgs option- UI & .NET – As part of this PBI, additional Statistics graphs have been implemented – Top 10 organisations with active/Inactive users, Top 10 organisations with the greatest number of Active Shared mailboxes, Top 10 organisations with the greatest number of Active Resource mailboxes, Top 10 organisations with the greatest number of Active Contacts.
  • Removal of simple search from all Portal pages, just have advanced search as the default search option – As part of this PBI, the Simple search functionality has been removed from all the portal pages. The advanced search will be presented as the default search option on NHSmail2 Portal. This is to improve performance of generic search operation throughout Portal.
  • Hide mobile number for all PODS users (by default) at the time of self-registration – As part of this PBI, at the time of self-registration the mobile number is hidden by default for all PODS users for all work areas and the tool tip is added on the phone number field ensuring user is aware mobile phone number is hidden by default.
  • Re-configure people finder to allow searching on first name, last name or combination of both – As part of this PBI, there are various improvements have been done for directory search via Portal. People finder will now allow searching objects based on first name, last name or combination of both and partial search is allowed on number of directory attributes.
  • Update inactivity timeout for Portal to 60 mins for public connections – As part of this PBI, Inactivity timeout limit is increased from 30 mins to 60 mins for public users while this limit remains same (8 hrs.) for N3 and private computer option via Internet.
  • Mailbox Hygiene – Ready for deployment tasks – Tasks/jobs related to Mailbox Hygiene are created.

New O365 Functionality

  • Hybrid – Add template selection to the Create SharePoint workflow – Admin users would like the ability to select a SharePoint template when creating a SharePoint site from the NHSMail platform. The requirement of the PBI is to add an additional drop-down selection to the Create SharePoint page allowing the admin user to select a template if they wish to do so.
  • Hybrid – Add template information to the View SharePoint workflow – This PBI adds the template to the list of columns on the SharePoint search in the column picker, it should not be visible by default, when the column is visible the user should be able to select the template used from a drop-down.
  • Hybrid – Restrict external domain drop-down to non wild card domains – When raising a request for a federated group the admin user is required to select the external domain from the list of allow-listed external domains. This list currently contains the allow-listed wild card domains which when approving will not be approved by the NHS Global Admins. This PBI removes any wild card domain from the list of external allow-listed domains present in the drop down and adds a tooltip to the External Domain field with the following message” Please ensure that a specific domain is selected as the external domain before submitting the request.”

Bugs Fixed

  • Hybrid Prod – Add new applications and licence mappings – This bug will add new applications to the Portal which have been added by Microsoft as default to different licence types
  • Hybrid – Prod – Update subscription job is not updating subscriptions as expected – Despite the job running successfully, the Update Subscription job hasn’t been updating the subscription details, meaning that when users purchase more licences or renew their subscription, these are not getting updated automatically from the tenant.
  • Sprint-13303-There should be tool tip on MFA toggle button if Org is not mapped with MFA License – When an organisation does not have an MFA license mapped to the organisation the following tooltip should be visible to the user when rolling over the MFA toggle. ‘Your organisation does not have an MFA subscription, please set up a subscription to enable MFA’When an organisation is not O365 enabled but does have an MFA subscription mapped then the MFA toggle should be enabled, and no tooltip should be visible.
  • Heron-MO Hybrid-Regression-License reconciliation job is not picking any users policy updates – Not all updated user policies were being picked up by the license reconciliation job, this resolves this issues and ensures that all updated user policies are picked up.
  • B2B Fed Group: E-Mail template has extra curly braces – This bug removes the additional curly braces which are present in the B2B federated group email template.
  • Hybrid – Incorrect tooltip on Azure Group ID field – When entering an Azure AD GroupID on the Manage Federated group page the tooltip suggests that only letters and numbers are allowed, however, the group ID is needed in a specific format. The bug adds the following:Update the tooltip on the AzureID Group ID field to have the following message displayed “The Azure Group ID format should be like 00628948-b509-4362-aa73-380c4dbd2a44, using letters (a-f) and numbers”Update the validation for the Azure Group ID on the portal page to detect if letters outside of a-f have been used, the message should read the following” Azure AD Group ID is invalid. A valid format is 00628948-b509-4362-aa73-380c4dbd2a44, using letters (a-f) and numbers”
  • Hybrid – Order external organisation in drop-down on federated groups – The dropdown list of external domains on the Manage Federated Groups page should be ordered alphabetically.
  • Hybrid Production – Create SharePoint currently failing with an Unknown Error – The Create SharePoint PowerShell changed meaning a SharePoint template value is required, therefore the creation of SharePoint sites is failing as this is currently not added. This bug resolves this issue.
  • INT1-Jaguar-Hybrid-Regression-UI doesn’t display border line for any of the modules on IE – UI does not display border lines properly on any of the modules in IE.
  • Validation on SMB create and update page is fixed – Maximum of 100 owners and 250 members can be added in a SMB.
  • As part of this fix, owners in deleted state will be removed on approval of any DL. If DL has only single owner in deleted state, DL cannot be approved until a valid owner is added to a DL. This will avoid the DL going into a pending state while LOA authorization.
  • As part of this fix, SMB will be created in DB only when the SMB creation is successful in exchange and AD. More logs have been added. No change in functionality.
  • Security Group Scheduled task is moved to Hangfire job. No change in functionality.
  • As part of this fix, owners in deleted state will be removed on approval or update of any DL. If DL has only single owner in deleted state, DL cannot be updated or approved until a valid owner is added to a DL.
  • View Target User functionality will provide valid list of users if any Site containing “()” is selected in rule builder, post this fix.
  • Post this fix, able to unblock devices irrespective of that the device is blocked from UI or not.
  • Security Group Hangfire job is working as expected post this fix.
  • The organisation report is reflecting correct values post this fix.
  • The URL for people finder on Leaver mail is navigating to people finder link of its respective environments.
  • Users in Deleted_Permanent state can no more be searched and added as owner on SDL creation.
  • Internal bug created while sprint testing of PBI 8174.
  • As part of this fix, owners in deleted state will be removed on approval or update of any DL. If DL has only single owner in deleted state, DL cannot be updated or approved until a valid owner is added to a DL.

  • DDL transfer operation is successful in all expected conditions with proper messages.

  • For Non-Admin flow, proper error message is getting displayed on adding more than 100 owners while DDL creation post this fix.
  • After this fix, View Target User functionality is working as expected for GA and LOA.
  • Able to rename SDL with name of more length than previous name after the fix.
  • Internal bug created for code refactoring around code related to Security Group Hangfire job. Technical changes and no change in functionality.

  • When creating SMB with 100 or less than 100 owners, the success growl message is displayed, and the audit is been captured.
  • When creating SMB with 250 or with less than 250 members, the success growl message is displayed, and the audit is been captured.
  • On self service password reset action, the spaces from mobile number in DB are stripped off before validating it against the number entered by user.
  • First/Last name cases are maintained as it is entered by the user except the capitalization of first letter.
  •  Email alias are not getting dropped off from audit after the transfer operation as well as the Organisation id, Organisation unit id and site id are not getting nullified in audit.
  • Bugs related to Mailbox Hygiene.
  •  Error message is displayed if more than 100 owners or more than 250 members are added to SMB while updating SMB from non-admin flow.
  • The Display name is consistently capitalized and is according to the format in user list page and in growl message.
  • Re-Enrol MFA is working as expected for users not having of MFA enabled roles but for which MFA is enabled through User Policy.
  • Organization name is getting displayed in growl message and in user list page when user is created via CSV upload.
