1.3 What to expect?

1.3.1 What happens after switchover?

Changes to your login details to access the migrated files and applications

From phase 2 (Switchover), you will access OneDrive, SharePoint and MS Teams using your NHSmail credentials. If you are part of the Early Adopter groups, you will need to work across two tenants until the main migration.

 Changes to your ways of working

  • Data that has been migrated will go into read-only mode on the former NHS Digital environment. This means you can only view these sites and documents.
  • For workloads that are not SharePoint, OneDrive, and Teams, please refer to the Introduction, where actions are detailed.
  • Please only use the NHSD environment as a reference if you find an omission was made during migration. In this case, escalate your concerns to the migration team via IT Migration Mailbox transformation@nhs.net
  • Access and work on your OneDrive files/folders, SharePoint, and Teams sites on the NHSmail tenant.
  • View your up-to-date calendar directly from Teams and set up meetings directly from Teams.
  • Important to note: If you are working in NHSmail on a document, and decide to share it with a specific colleague, remember to use the ‘People you specify can view’ or ‘People with existing access’ box. If you use the ‘People in my Organisation’ box it will enable anyone working in NHSmail (including colleagues across NHS trusts) with the link to access your document.

1.3.2. What will I need to do on the day of the switchover?

1st Early Adopter Group Switchover

  • Ensure to use your nhs.net credentials to access your OneDrive, SharePoint (TechServices Management), and MS Teams (TechServices Management) from the morning of 12 April 2023.
  • Continue to access all other SharePoint and Teams sites in the NHS Digital environment with your @hscic.gov.uk credentials.
  • Recreate any Power BI dashboards associated with the data in any migrated areas (owners will be informed).
  • Repoint any links between documents.
  • Further considerations can be found in the FAQs.

2nd Early Adopter Group Switchover

  • Ensure to use your nhs.net credentials to access your OneDrive, SharePoint (Commercial Operations), and MS Teams (Commercial Operations) from the morning of 03 May 2023.
  • Continue to access all other SharePoint and Teams sites in the NHS Digital environment with your @hscic.gov.uk credentials.
  • Recreate any Power BI dashboards associated with the data in any migrated areas (owners will be informed).
  • Repoint any links between documents.

Main Migration Switchover

  • Ensure to use your nhs.net credentials to access your OneDrive, SharePoint, and MS Teams from the morning of switchover. You will be notified ahead of this date.
  • Repoint any links between documents.
  • Further considerations can be found in the FAQs.

1.3.3 How will I access my applications

Following the main migration, all former NHSD colleagues should refer to the table below to understand how to access migrated applications. For cases where an application is not listed, please send a mail to the migration team  it.transformation@nhs.net
